1 3.0 DEFINITIONS 1

I 3.1 PROJECT FILES The area where records are received, indexed, and processed into the Waterford 3 Information and Records Management-

. System.

. 3.2. MAINTENANCE DOCUMENTS - Any3 written or pictorial information describing, defining, specifying, reporting or certifying activities, requirements, procedures or results necessary to perform a continuing activity and which must be kept current for quality or safety needs.

3.3 ' MAINTENANCE RECORDS - Those records required to be generated under the requirements of Technical Specifications or Maintenance procedures, which furnish documentary evidence of the-quality of items and of activities affecting quality. For the purpose of this procedure, a document is censidered a record when the document has been completed. (i.e., including all appropriate-information and final signatures).

3.4 WORK PACKAGE - A collection of documents, including a Work Authorization, which may contain or reference approved procedures, retest requirements, acceptance criteria, instructions, drawings, technical manuals, information sheets, requisitions :n stores, etc. ,

required to accomplish the work.

3.5 RECORD TYPE - A classification code used to sort records by their common characteristics. Each record type has a retention time and storage requirements. This is commonly called R-Type.

3.6 PLANT RECORDS MANAGEMENT - A depository for master record copies of inaintenance documents.

3.7 MASTER RECORD COPY - The original Maintenance Superintendent f approved procedure package from which copies are made. It is )

retained as the record copy.

4.0 RESPONSIBILITIES 4.1 The Maintenance Superintendent-Nuclear has overall responsibility for control of maintenance records and administration of this procedure.

4.2 The Maintenance Assistant Superintendents (MAS) are responsible for ensuring that maintenance records are complete and properly reviewed, and that they are transmitted in a timely manner.

4.3 The 1st Line Supervisors are responsible for ensuring that Maintenance Records are properly completed and collected in a timely manner.

- 4.4 The Lead Workers are responsible for completing maintenance records.

4.5 Maintenance Clerks are responsible for assisting in the collection, filing, and transmittal of Maintenance Records to Project Files.
