MEMORANDUM FOR: All NRR Employees and Other Occupants of the Phillips Building FROM: Jesse L. Funches, Director -

SUBJECT:

PHYSICAL MOVES WITHIN THE PHILLIPS BUILDING. COMPLEX AND THE AIR RIGHTS BUILDING The purpose of this memorandum is to inform you of the dates and process

' for relocating NRR employees plus four employees of the Office of Administration as a result of the recent NRR reorganization. The move will occur in two phases.

Your new office locations are as shown in my December 5,1985 memorandum to all NRR employees. Employees whose new location changes will be notified shortly. However, we do not expect to change the offices of employees involved in the Air Rights moves. '

Phase I will include employees who are being moved either within the Air Rights ~ Building or between the Phillips and Air Rights Buildings. This phase of the move will begin C.O.B. Friday, January 24, 1986. All affected employees must be fully packed by 4:00 p.m. on January 24. Employees scheduled to leave

]; Air Rights and move to the Phillips Building will be temporarily located for one week in vacant space on the other Air Rights corridor, fomerly occupied by the TMIPO.

I' Phase II of the move, which will include the remaining employees who are being moved, will begin the weekend of January 31, 1986.

" As part of this move, and due to stronger GSA enforcement of existing

' furniture allocation guidelines, all office furniture will be standardized.

1 You will receive the furniture listed in Enclosure 1 for your position. If you are not scheduled to physically move from your current office space, your office will still'be standardized. As such, you must have reduced your use of existing file cabinets and bookcases to meet the above-referenced standards by the date your building occupants are scheduled to be moved. If you are i

lacking furniture or equipment, it will be placed in your office during the move.

'. -Any employees who feel they need additional furniture or equipment may fill '

out a Fom 34 with justification for their request through their appropriate management chain. These requests will be processed in accordance with NRC Manual Chapter 5201. However, requests for additional furniture or equipment should not be submitted for 10 workdays after an employee is moved. The purpose of this delay is to pemit time to resolve any problems resulting i from the move and for you to become accustomed to your new location and adjust to the furniture and equipment initially allocated.

As the abov'e information indicates, it is absolutely imperative that we take this opportunity to " clean house." This housecleaning falls into four general categories:

1. Trash. Beginning immediately, any material that falls in this category should be put in your wastebaskets or the brown boxes that are stacked by the elevators and then should be clearly marked " trash." Such boxes should be put by the elevators for trash pickup. Within the next several days, larger trash hampers will be put on each floor to facilitate removal of unwanted material. Time spent on housecleaning tasks should be recorded on your time sheet as Planned Accomplishment #183 and annotated as " moving."
2. TIDC. Any agency records, files, or plant-specific information that is no longer being used should be put in the brown boxes and left by the elevators after being clearly marked "DMBTR." These files will be reviewed by TIDC, and they will make a determination as to which records will be kept, sent to storage, or destroyed.
3. Library. Any hard-copy items such as technical journals, NUREG's, etc. should be given to the Library. The library staff will determine if they need the documents you provide them or if such documents can be discarded. In this regard, you should note that the Library plans to maintain complete sets of these documents. Therefore, it is not necessarv for you to maintain NUREG's or journals that you infrequently use.

, 4. Material to be Moved. All file cabinets, bookcases, and desks must be completely emptied by the date and times mentioned above since desks, tables, and file cabinets will not be moved, only packed boxes. Your new office will be properly equipped by the time of your arrival on the floor after your office is moved. Packing boxes will be placed by the elevators on each floor for your use. Each box must be tightly closed and clearly labeled with the employees last name and first initial and new room number clearly printed in 4-inch block letters on the ends of each box, not the top.

' This will allow the movers to read the destination even while the boxes are stacked. Note that if you are moving to the 11-story building, your room number should be preceded by the letter "P."

Items that will be moved include typewriters and typing tables. Each of these items must also be clearly labeled with employee's name and new

  • room number. Micro-computers, display terminals, 5520's, and ergonomic

- furniture will also be moved, but they will be labeled by the Planning '

and Program Analysis Staff.

. A move of this magnitude is obviously a large undertaking. I therefore request your full cooperation. My staff and I will help in any way possible to minimize the impact, but your support will go a long way in making this a successful move.
