SUBJECT:
RECORDS HOLDING AND RECORDS DESTRUCTION In furtherance to my recent guidance in connection with the upcoming relocations, all employees are encouraged to clean out their files.
During this effort you are reminded to:
Ensure that all official record copies are sent to the Records Services Branch (I. Bailey) 016, Phillips Building.
Retur'n library material to NRC library 160, Phillips Building.
For records and reference material that should be retained and transferred to the new organizational units and individuals you should take the following actions after disposing of excess and unneeded documents:
1.
Organizational level material should be separated and transferred to the new organizational unit as soon as possible.
2.
Personal files should be transferred to the individual whohasresponsibilityfortheproject,totheextent that the new individual desires such files.
Dislose of excess and unneeded documents and correspondence.
- Witi respect to this effort, the Document Management Branch (DMB),
ADM will place boxes opposite the elevators for your use.
1.
Boxes are to be filled about 3/4 of their capacity.
Flaps of the boxes are to be closed securely and should not include binders or metal.
2.
Filled boxes are.to be labeled "DMBTR" and lined in hallways.
If the hallways become too congested, stack the boxes in your offices.

Do not include classified, Official Use'Only or Proprietary Information in these boxes.
Refer to NRC Manual Chapter 2101 for disposal of this type of material. Also, do not destroy. any material which could be subject T6 a pending F0IA request.

The boxes will be picked up by DMB for transfer to a disposal site every Tuesday and Thursday beginning December 10, 1985, starting on the lith floor working downward. It is hoped that all material can be disposed of by January 23, 1986, prior to the actual relocation of bargaining unit employees. Once a floor has been completed, DMB will not pick up from that floor again.
Therefore, please do not place boxes on floors after pickup has been completed.
Upon completion of the upcoming move, the Program Assistant for your new division will contact you in regard to the preparation of Records Holding Reports.
Note that you should maintain a record of the appropriate amount of material destroyed (e.g., 1 xerox box = approximately 1 cubic ft.) so that Program Assistants can reflect this reduction on the Records Holding Reports.
Arrangements can be made for temporary storage of records in a retirement center if your branch or office is not sure about specific needs for certain records in the new organization. Our experience with retrieving retired records has been favorable.
