SONGS SUBSTANCE ABUSE PROGRAM ADMINISTRATION SECURITY CONSIDERATIONS/SENSITIVE INFORMATION HANDLING GENERAL INFORMATION All documentation, records and computer data maintained by the Substance Abuse Program Administration office is kept under positive key controlled conditions. A central key box is kept by the Program Administrator and contains keys to all of the program files. The following files, computers and offices are locked each day.

1.

SAPA office in D36 (vault door).

SAPA personnel whose work area is located in this room have keys. The first one to arrive in the morning is responsible for unlocking the room and the last one to leave at night is responsible for locking the room.

2.

Random Notification System (RNS) computer is locked at the end of each workday by the person who runs the Random Drug Screening Program notifications. The key to the computer is then secured and locked under separate key control, with the key maintained by the person running the program.

3.

Drug Screening System (DSS) computer is locked at the end of each workday by the person responsible for updating and maintaing DSS. The key to the computer is then secured and locked under separate key control, with the key maintained by the person responsible for DSS.

4.

The hard copy DSS files are locked with a bar lock and pad lock at the end of each workday by the person responsible for DSS. Additionally, the last SAPA person to leave the SAPA office is responsible for checking that all computers, bar locked cabinets and the main door are locked.

5.

All filing cabinets and desks within SAPA which are equipped with locks are to be secured by the responsible personnel at the end of each workday. Each person is responsible for their own work spaces (i.e. desk drawers, overhead doors, etc.) and for seeing that these spaces are properly secured when they leave at the end of each workday.

6.

All network computer systems used by SAPA, primarily the site network electronic mail, are secured by password protection. Each SAPA employee has the responsibility for maintaining their unique passwords and seeing that passwords are changed frequently. Passwords should be unusual and complex.enough to assure that unauthorized access is discouraged. All confidential or program-related data that is kept on network computer systems is to be protected by these passwords.

Whenever practical, network electronic mail data should be archived onto the local hard disk of each person's computer, for further security. All computer data maintained on hard disks should also be backed up frequently and floppy disks should be stored in locked cabinets.

7.

All computer keyboards should be locked by SAPA personnel at the end of each workday. Keys to the keyboards should then be secured under key lock for additional security.

8.

If, during a workday, SAPA personnel must leave the SAPA office, the room is locked to preclude entry by unauthorized personnel.
