VIRTUAL PLATFORM PRESENTATION GUIDE Revised as of 2/18/2022 INTRODUCTION This guide provides session chairs, coordinators, and liaisons with basic background information to assist with conducting their RIC sessions. Additional information and resources are available at the NRC's RIC Central SharePoint. The RIC Team is also available to answer any questions via RICMST.Resource@nrc.gov.

ROLES Session Chair(s) o Core Tasks Open the session.

Introduce topic and speakers.

Facilitate discussion.

Close the session.

o Suggested Additional Tasks Solicit questions from Coordinator and pose to individual speaker or panel.

Prompt polling questions, if applicable.

Speakers/Panelists/Presenters o

Deliver presentation.

o Engage in dialogue and answer questions during the session Q&A portion.

Session Coordinator(s) o Core Tasks Walk through the flow of session (per Production Schedule) with the NV technician.

o Optional Tasks Field incoming questions from attendees.

Prioritize questions, and feed questions to Chair when prompted.

Launch polls when requested.

o Advance presentation slides.

o Facilitate live polling questions.

o Run videos and live captioning.

o Record the session.

Participants, attendees, or audience are the viewers or public that will benefit from the RIC session(s).

PRESENTATION PROCESS: CONNECTING Speakers are provided a unique Zoom meeting link to join their session. We encourage you to use the Zoom desktop client, however you may also use the Web client. If you are using the Zoom web application (users with the Zoom client installed in their computers will just have to launch the meeting and won't have to follow the next steps),

o Click the join link to join the meeting.

o If a pop-up window prompts you to open or install the Zoom desktop client, click Cancel.

o At the bottom of the page, click the "Join from your Browser" link.

o Note: If you don't see this option, make sure to enable "Join from Browser."

o If you do not have a Zoom account, create a new account.

o Click Join.

o If these instructions are unclear, please contact RICMST.Resource@nrc.gov.

On the day of the session, please join 30 minutes ahead of the designated start time.

You will be greeted by the INSPIRE producer/concierge and placed into the virtual green room, where speakers and conference staff can freely chat, and/or listen to the live broadcast without being heard or seen by the audience.

INSPIRE will move speakers between the virtual "Green Room" and "Stage" during the session based on the production schedule.

VIRTUAL GREEN ROOM The virtual green room is a space for presenters, session chairs, coordinators, and liaisons to gather before the session starts.

INSPIRE will be available to ensure everyone is ready for the session.

INSPIRE will move speakers from the green room to the stage following the production schedule.

While in the green room, speakers can communicate via Zoom chat.

o Note that the chat is only viewable by others in the green room. You cannot chat with presenters who are on stage if you are in the green room.

Session attendees (or audience) cannot hear speakers while in the green room.

RIC STUDIO/STAGE U.S. Nuclear l<egulatory Commission 34th ANNUAL REGULATORY INFORMATION CONFERENCE MARGFi 2-10;,2022 The studio or stage is where the session audience can listen to the presenters. The "Stage" is where live presentation takes place.

INSPIRE will move speakers from the green room to the stage together and will appear on screen in the order identified in the production schedule.

Typically, the session chair would spend most of the time on stage welcoming and thanking speakers before and after their presentations.

It is here where the Q&As will be discussed. Please refer to the Session Q&A portion for more guidance about handling Q&As.

Speakers will be able to see themselves in the "Confidence Monitor" o

INSPIRE will send a video feed of the broadcast back into the zoom call (see upper left block in figure above), so speakers can see exactly what is being broadcast to the audience. You will see active slides/ videos/ and a countdown timer showing how much time remains in your session.

o The "Confidence Monitor" tile can be pinned by speakers, allowing them to see it in a larger view throughout the session.

SLIDES AND SCREENSHARING An INSPIRE technician will control the presentation similar to how it is handled at an in-person RIC. Allowing the INSPIRE technician to control slides & video helps mitigate any technical issues that might arise. Speakers should use verbal cues to move forward in the deck.

To advance a slide, say "next slide" or "advance."

To play a video, just say "roll the video" or "let's take a look."

Session Coordinators should include information regarding presentations that have embedded video/audio in the session production schedule. It is preferred that video files be provided separately to ensure a better-quality video stream.

If you are screen sharing slides and/or video from your computer, please verify that you are very familiar with the sharing process prior to the start of the show. If any technical issues arise during the session, INSPIRE will not have any control of your system and can only offer suggestions via Zoom's chat feature.

RIC U.S. Nuclear Regulatory Commission 341h ANNUAL REGULATORY INFORMATION CONFERENCE MARCH S-10,.2022 PRESENTER CHAT Session chairs, coordinators, liaisons, and presenters will be able to communicate on stage via chat during the session. Please note that any conversation on stage will be live and heard by all attendees. Be mindful of any verbal conversation that is not an actual presentation.

This chat won't be visible or accessible to people in the green room.

Coordinators or liaisons may set up a separate chat on Teams to communicate amongst themselves with the presenters and chair if they choose to.

ATTENDEE CHAT Attendee Chat features will not be used during the RIC.

o This will not affect the speakers ability to use Zoom chat to communicate with the INSPIRE technician and other speakers in the Green Room and Stage.

o The only way for the audience to communicate with the speakers will be via the Q&A Tab or by responding to polls.

SESSION QUESTIONS AND ANSWERS (Q&A)

Participants submit questions using the Q&A tab for each session on the RIC platform.

Participants will not be able to see the questions that are submitted for a session.

o When answering Q&A, the session chair or speaker answering the question should read the question aloud, so participants know what is being addressed.

Participants will be able to direct questions to the panel or individual speakers, however, speakers/panelists will not see the questions, only designated personnel (chairs, coordinators, liaisons) with access to the Q&A review page will be able to view submitted questions.

o Any staff can be designated as a question reviewer and provided access to view questions.

o The session chair, coordinator, and liaison will be provided a link to their session's Q&A review page and only they (not the speakers) will be able to see the questions in the Q&A review page.

o The session chair, coordinator, and liaison must be registered to attend the RIC and must be logged in to RIC platform and then access the Q&A review page using the provided link.

o There is not an option to re-order or delete questions on the Q&A review page; they are listed in the order received.

Session chairs, coordinators, and liaisons will have to determine how questions will be managed. A way of doing this would be for the session coordinators and/or liaisons to monitor questions in the Q&A review page and pass those to the session chair so that the session chair can determine who should address questions (if questions are not directed to specific speakers).

Questions could be passed to presenters in the stage chat before and during the Q&A session to allow them to prepare answers.

R/C U.S. Nuclear Regulatory Commission 34rh ANNUAL REGULATORY INFORMATION CONFERENCE MARCH S-1~ 2-022 Designated staff, session chair, coordinator, and liaison should also be logged in to the session and placed on stage and remain muted unless asking questions when opting to manage Q&A through the studio chat.

Questions can also be shared using a separate Teams chat specifically set up for the session. Session Coordinators/liaisons or other designated staff would be responsible for setting up Teams meetings to chat during their session.

During the Q&A session, all speakers would be moved to the stage and everyone will be visible, the session chair, or other designated staff member, will read out loud the question and assign it to a panel member. After the panel member addresses the question, the chair would read the next question and assign it to the right presenter.

If not enough time for addressing all questions, please consider assigning questions to the right presenters and encourage the presenters to respond via email to the audience members any time after the session ends (questions are submitted with an email address).

INSPIRE and SD Solutions staff will be available to assist speakers with connection issues prior to the conference.

Speaker Loses Internet o

INSPIRE will provide dial-in for Zoom so presenter can call in and continue presentation with the session login information.

o Have a printed copy of your presentation available so you can follow along and direct slide changes if you need to dial in.

o It is strongly encouraged that session coordinators gather phone numbers or all speakers, chair, and liaison and that those are shared with each other as a contingency.

Video Issues (e.g., camera not working) o INSPIRE will have photos of presenters to display while they present.

o If no photo is available, INSPIRE will display the PowerPoint full screen or RIC icon.

Make sure to check for computer updates the night before your presentation to ensure that everything is up-to-date, and the system does not automatically restart during your session. Also check for updates to Zoom and any other software you may use during your presentation.

If using a shared device, check your Zoom settings prior to logging in to ensure that you do not have any unwanted filters or background pictures active.

Present from a private area with no interruptions. If possible, limit other internet connections (e.g., other online meetings, streaming) on your network during the time of your presentation.

Be sure to have a strong internet connection.

o If possible, use a hard-wired Internet connection rather than wi-fi.

o If wired is not available, position yourself as close to the Wi-Fi router as possible to ensure a good connection.

Only open the software you need for your presentation.

Tips for Speakers-Presenting Ensure your participant name in Zoom is your First Name and Last Name.

Log into the meeting platform 30 minutes prior to the start of the session.

Silence your phone during the meeting.

If using notes, set them up below or next to the camera if possible, to ensure a natural-looking delivery.

Be mindful of background noise. Mute when appropriate. Remember to unmute!

Use Zoom chat to communicate with the INSPIRE AV technician and other live speakers. Ensure your background is visually appealing and not distracting and remove any clutter.

Check your lighting. Lighting should be situated in front of you and not behind. Natural window light is great, but as the sun goes down, the setting may become too dark. Even on a bright day, a cloud might cover the sun, and your face will suddenly be in shadow.

Use the best lighting you can access to make sure your face is lit.

Choose attire that you would wear if you were attending an in-person conference. Plain-colored shirts and pants are optimal; patterns or stripes may not display well on remote sites. Also, avoid wearing white, red, or any color similar to your background. Pick your presentation spot carefully, where you will not be interrupted by family, friends, or pets.

Print a copy of your final PowerPoint presentation. If you lose your internet connection during the presentation, you will be able to reference your slides from the printed copy, while the Technical Producer advances your slides.

If possible, request that anyone at your location refrains from using the Internet connection while you present.

Look at the camera. Making eye contact with the audience is crucial to a good presentation.

Remind the audience to submit any questions through the Q&A feature.

Be enthusiastic and confident. No one has thought more about your presentation than you. The audience will appreciate your interest and excitement.

Note the timer in the lower box of the confidence monitor in the zoom call.
