REGULATORY INFORMATION CONFERENCE 2021CALL FOR PROPOSED TECHNICAL SESSION AND DIGITAL EXHIBIT TOPICS Early planning is underway for the U.S. Nuclear Regulatory Commissions (NRCs) 33rd Regulatory Information Conference (RIC), and your involvement is key to the RICs continued success!

The current climate has offered the opportunity for us to rethink the way we do business. All around the world, the way meetings are hosted has changed, and the RIC is no exception. Great news! The 2021 RIC will be virtual, and the theme is The Power of Possibility. This is a great opportunity to rethink the RIC program through a virtual lens and demonstrate the innovation and technical expertise of the staff.

The technical content of the RIC is one of the major draws for thousands of participants each year, and we anticipate that participation will increase with a virtual platform. This popularity is in large part thanks to the talented NRC staff whose technical knowledge and expertise are crucial to maintaining the RICs high-quality program. We invite you to be an active contributor in the development of the conference program by proposing technical session and digital exhibit topics.

Although the physical 2020 RIC did not come to fruition, we can leverage the previous hard work and ideas as we rethink and shape the technical sessions and digital exhibits for the 2021 RIC.

By collaborating, communicating, and coordinating, we will deliver a professionally executed virtual RIC. However, this will require early and frequent involvement throughout the agency. We encourage all offices to begin planning now. When planning your topics, please keep the theme in mind, encourage your staff members to brainstorm topics that are relevant, and demonstrate how the agency is transforming. It is important to choose topics that will engage a diverse audience and stimulate healthy dialogue. As you develop your session or exhibit, we ask that you think through not only the topic, but also the execution of it on a virtual platform, including participants comfort and capability to participate remotely. We highly encourage the staff to think outside the box, be creative, and take chances!

Those on the Attached List et al 2 To help transform these discussions into ideas for successful RIC sessions, we have provided guidelines and recommendations below for session development. We encourage offices to consider the recommendations and incorporate them into your planning. However, we are not limiting ideas to those in the recommendations. Now is the time to think creatively and be open to offering a topic or format that is untraditionalthink big!

In preparing for topic submission, you may draw upon the following resources from RIC 2020:

  • RIC 2020 final report, containing summary data up to the point of cancellation
  • RIC 2020 program agenda, containing links to session titles, descriptions, presenter biographies, and presentations
  • cumulative topic history, containing a list of technical session topics, including those for RIC 2020 We are excited to introduce a new tool, the RIC Technical Session and Digital Exhibit Submission Tool (RIC-TSDEST), which has been developed to automate the topic submission and selection process. A link to the tool is provided below. To access the tool, individuals will need to complete a one-time registration to create a username and password. Once your user account is created, you will be able to log in to the tool and submit technical session or digital exhibit topics for consideration. You will be able to create your user account from the introduction page of the RIC-TSDEST. Should you have any questions or need assistance with registering or accessing the tool, please e-mail NRCRIC@sdsolutionsllc.com and copy RICMST.Resource@nrc.gov.

Actions Requested by Thursday, September 24, 2020:

(1) Identify proposed topic(s) to be submitted for technical sessions or digital exhibits, or both.

(2) Submit your technical session or digital exhibit topic online at https://ric.nrc.gov/ric-tsdest.

Note: Each topic requires an individual submission through the tool.

The foundation for a successful virtual RIC starts with the submission of engaging topics and innovative presentation ideas. Writeups should be comprehensive, focused, concise, and intriguing for the audience. Consider tapping the technical expertise within your offices or ask for the advice of the RIC Co-Champions, Josh Borromeo (Joshua.Borromeo@nrc.gov), Office of Nuclear Reactor Regulation (NRR) and Mehdi Reisi Fard (Mehdi.Reisifard@nrc.gov), Office of Nuclear Regulatory Research, to ensure that your submissions are of high quality and are ready for prime time. We look forward reviewing to your proposals and are excited to work together with you to deliver the best virtual RIC ever!

RECOMMENDATIONS FOR PLANNING INTERACTIVE AND DYNAMICTECHNICAL SESSIONS AND DIGITAL EXHIBITS Our goal is to build on the excellence and success of past U.S. Nuclear Regulatory Commission (NRC) Regulatory Information Conferences (RICs) and develop a fresh, new conference experience! To achieve this in a virtual environment, we have identified areas where we can use innovation and technology to achieve our goal. To that end, we have developed the following recommendations to help shape the sessions to achieve an interactive and dynamic experience for the participants.

Topic, Title, and Description

1. Topic is new or emerging, relevant or forward leaning.
2. Title is creative, catchy, and relatively short.
3. Description is well thought out, comprehensive, focused, clear, succinct, and appealing to the audience. Key elements could include the sessions purpose, clear and specific learning objectives, focus areas, and key takeaway messages.

Session Format In keeping with the mindset that although we are presenting virtually, we want to engage our audience as if we were in a face-to-face environment. To the extent possible, we want to continue to leverage technology to interact with the audience through means such as live polling, as well as Q&A and chat features. When developing your session and selecting your speakers, it is important to be cognizant of their technology capabilities and limitations as well as their comfort level in presenting virtually.

Selection of a Session Chair, Coordinator, Speaker(s), and Digital Exhibitor(s)

Designate dynamic individuals who have technical expertise, strong communication skills, creativity, and comfort with technology and presenting virtually and who are willing to invest the time to ensure a successful session. Enthusiasm and innovative thinking are qualities that are strongly encouraged to make sessions more interactive and engaging.

Speakers

1. Invite non-NRC speakers who offer fresh viewpoints or different perspectives.
2. Limit the number of speakers to three, in addition to the NRC Chair, for a total of four.
3. Broaden the speaker pool by refraining from inviting speakers from recent RICs.
4. Consider including one speaker from the international community, to broaden the international perspective.

Digital Exhibits

1. Format: Given the virtual environment, we encourage presenting digital exhibits as a prerecorded video. Be creative in the most effective way to present the information in a short video. Think infomercial; think TED-Talk. No idea is a bad idea; be creative with the topic and presentation material.
2. Slides: If used at all, slides should be few in number and comprise only a small segment of the overall video. Slides should be prepared to keep the audience engaged and may contain infographics, motion graphics, transitions, or animations. Strive for a balance between the amount of graphics/animations and text.
